How do we collect your information?

We collect your information via the FullProxy website when using the following forms:

  • Contact Us
  • Book a Meeting
  • Sign up to our Newsletter

We also collect data if an enquiry is made via the telephone, through email or via in person contact with one of our team, eg at an event.

We also occasionally collect, validate and verify professional business contact data from third-party sources (such as data aggregators and public professional networks). We collect and hold this data under Legitimate Interest for marketing and sales activity where we consider such activity to be relevant to your business. You have the right to unsubscribe at any time.

We also collect IP address details and information on pages accessed and when.

Why do we collect data?

We collect this data primarily to help process your order or enquiry, to respond to you with an accurate quotation or follow up from the details entered into the website to help answer your questions. All our data is stored securely and we take care to ensure that this information is protected.

  • To answer questions or enquiries
  • To notify you of changes to our services
  • To send you communications which have been requested and/or may be of interest to you

How long do we hold data for?

We hold your data on the system as long as necessary for the current shared interest to apply, or unless you, the customer, ask us to remove the data.

Who will your data be shared with?

We will not sell or rent your data to third parties and we will not share or sell your data with external companies for marketing.

We may need to share your details with Distributors or Vendors of the products we resell for them to provide quotations and process orders. Information will only be shared if we feel there is a shared interest based from your initial contact with us and your details will be stored securely.

Your options going forwards

We always offer each customer a choice to receive information from us.  If you do not wish to receive marketing communications please check the relevant box located on the form where we collect your information.

We offer unsubscribe and opt out options on all our marketing materials and you can either select the opt out feature or email on hello@fullproxy.com or call us on 0141 291 5500 to stop receiving any communications.

Security

To remain compliant with GDPR we regularly update our website platforms and associated plug-ins. Our websites are hosted by WP Engine with Secure Sockets Layer security so that our browsers know they are visiting a secure website. Google Chrome will warn the user if a site does not have SSL. It is the standard security technology for establishing an encrypted link between a web server and a browser. This link ensures that all data passed between the web server and browsers remain private and integral.

Data collected via our website is transmitted over the internet and still cannot be guaranteed to be 100% secure. We strive to protect your details and security to a high level, once on our systems.

Our websites use “cookies” serving to make our Internet presence more user-friendly, effective and secure, e.g. to accelerate navigation on our platform. Furthermore, cookies allow us to measure the frequency of website visits as well as general navigation.

Cookies are small text files stored on your computer system. Please note that some of these cookies are transferred from our server to your computer system, these are Session Cookies. They are characterised by being automatically deleted from your hard drive upon the end of the browser session.

Artificial Intelligence (AI) Assisted Communications 

We may use artificial intelligence (“AI”) technologies to support customer communications, enquiry handling, sales engagement, and service delivery. 

This may include the use of AI tools integrated with our CRM platform (HubSpot) to assist our team in analysing data and improving the relevance and efficiency of our communications. 

Where this functionality is used, limited personal data contained within your interactions with us (for example, contact details, enquiry content, company information, or correspondence history) may be processed securely by authorised third-party technology providers acting on our behalf. 

We only use AI systems to support human decision-making and service delivery. We do not use solely automated decision-making or profiling that produces legal or similarly significant effects on individuals. We do not allow our third-party AI service providers to use your Personal Identifiable Information (PII) to train or improve their underlying models, ensuring zero data retention wherever possible. 

Any personal data processed through these systems is handled in accordance with applicable UK data protection laws, including the UK GDPR and Data Protection Act 2018. We take reasonable steps to ensure that appropriate contractual, technical, and organisational safeguards are in place with our technology providers to protect personal data, including where data may be processed outside the UK.

Our website may contain links to other external companies’ websites of interest. However, once you have used these links and leave our site, you should note that we do not have any control over that website. Therefore, we cannot be held responsible for the protection and privacy of any information which you provide whilst visiting such sites.
